AI consulting · Charlotte, NC

AI consulting for Charlotte banks, health systems and utilities.

Loan files and account documents, claims and remittances, easements and utility statements: read by AI, filed, and disposed of on schedule as North Carolina expects.

A claim, its EOB, the denial and the appeal on one patient accountFour documents sit around a circle: the claim, the explanation of benefits, the denial and the appeal. In the middle, one patient account holds all four, so the appeal is built from papers already on file. One accountevery page on fileClaimEOBDenialAppeal

Where Ademero fits

  • CapturePoint 6. Splits a scanned loan package into its documents, names each one and reads the values a processor would otherwise key, on a PC at the branch or in operations.
  • Content Central. Keeps the loan file in the cloud or on your own servers, with a retention schedule per document type, versions, and an audit trail examiners can follow.

Rules this paperwork lives under

GLBA Safeguards Rule
Non-bank lenders and brokers follow the FTC version (16 CFR Part 314): a written information security program, multi-factor sign-in, and disposal of customer information no later than two years after it was last used unless you have a reason to keep it. Banks follow the interagency guidelines. Content Central supports MFA, permissions and retention schedules that clear documents on time.
Regulation Z (TRID) record keeping
Lenders keep evidence of compliance for the Loan Estimate for three years after closing and the Closing Disclosure for five. Each can be its own document type with its own retention period.

North Carolina

Disposal is part of the rule, not an afterthought.

North Carolina’s Identity Theft Protection Act asks businesses to dispose of records with personal information so nobody can read them afterward, and limits where Social Security numbers can appear. For a bank or a health system, that touches every loan file, account opening and patient packet still sitting in a cabinet or a shared drive.

We describe what the software does. Whether a Charlotte business complies is for it and its counsel to decide.

The paperwork it creates

  • Account opening documents
  • Loan files
  • Patient registration packets
  • Payroll and HR files

What a team does about it

  1. 1Scan the paper once, verify it, and set a retention period per document type.
  2. 2Hide Social Security number fields from roles that do not need them.
  3. 3Review what is due for removal each cycle, then remove it on schedule.
  4. 4Keep the audit trail that shows the removal happened.

Charlotte, North Carolina

A banking center with hospitals and power companies next door.

Charlotte is one of the country’s largest banking centers, and the region is also home to large health systems and energy companies. All three keep records with Social Security numbers and account details for years, and North Carolina’s Identity Theft Protection Act says how they must be disposed of when that time is up.

Win the appeal with the papers you already have.

A denial arrives by fax. The claim, the explanation of benefits and the referral that would win the appeal sit in three different places, and the appeal window keeps running while someone looks.

Where Ademero fits

  • CapturePoint 6. Reads claims, EOBs, remittances and referrals on a Windows PC in your office, so patient information is not sent to an outside service to be read.
  • Content Central. Keeps the patient and claim record in the cloud or on your own servers, with permissions by document type and field and an audit trail of every view.

Rules

HIPAA Security Rule
Asks for access controls and audit controls on electronic patient information. Content Central limits who sees each document type and logs logins, searches, views and deletes. Ademero signs Business Associate Agreements.
HIPAA documentation
Certain HIPAA documentation, such as signed authorizations and your privacy policies, is kept for six years. A retention schedule per document type keeps each one for as long as you set.

03 · Energy and utilities in Charlotte

The easement on screen while the landowner is still on the phone.

A landowner calls about a right-of-way. The easement was signed decades ago, and the only copy is a paper file nobody can find while the landowner is still on the phone.

  • CapturePoint 6. Reads utility statements, invoices, past due notices and credit memos: account number, statement date, payment due and closing balance.
  • Content Central. Makes decades of easements searchable by tract, grantor or any word in the grant, keeps integrity records indefinitely, and routes field tickets for approval before export to Epicor, Sage X3, Sage 50, Workday or QuickBooks.

FERC records retention, in short

18 CFR Part 125 for public utilities and Part 225 for natural gas companies set how long each kind of record is kept. Many state commissions adopt or add to them.

  • Lands and right-of-way

Easements, right-of-way agreements, deeds, plats and crossing permits

  • Operations

Work orders, meter orders, pole and line inspections, and as-builts

  • Regulatory and integrity

What an engagement produces

  1. 01

    An assessment, in writing

A map of your document streams: what arrives, from where, roughly how many, who touches each one and where its data has to land. Ranked by where AI pays off first, with the product that fits each and anything that touches North Carolina rules called out.

  2. 02

    A pilot on your documents

We run a sample of your real banking and lending documents through CapturePoint 6, with a job set up from a folder of your own samples. You see which fields it reads, what it sends to review and why, and where the files land.

  3. 03

    A scope and a quote

What the rollout covers, which systems we connect, how your team is trained and how support works after go-live, priced for your project.

The first conversation is free. Prices come in the quote, for your scope.

North Carolina rules

What North Carolina law asks of your documents.

The state rules that most often touch Charlotte paperwork in the industries above, in plain words. We describe what the software does; whether you comply is for you and your counsel, and laws change, so confirm the current text.

Identity Theft Protection Act

North Carolina General Statutes, Section 75-60 and following

Applies to
Businesses that hold personal information about North Carolina residents.
What it asks
Limits on using and displaying Social Security numbers; reasonable measures against unauthorized access when records with personal information are disposed of (burning, shredding, or destroying or erasing electronic media); and notice of a breach to affected people and to the Attorney General’s Consumer Protection Division.
What the software does
Field permissions that hide a Social Security number from people who do not need it, and retention schedules with a destruction schedule.

Questions

What Charlotte teams ask us.

What does North Carolina require when we dispose of old records?

Reasonable measures so nobody can read personal information afterward: burning or shredding paper, destroying or erasing electronic media. Once paper is scanned and verified, retention schedules decide when the electronic copy goes, with a list of what is due and an audit trail of the removal.

Can we hide Social Security numbers from most staff?

Yes. Content Central has field permissions, so a Social Security number field can be hidden from roles that do not need it while the rest of the document stays visible.

How do your hours line up with Charlotte?

We are on Eastern time too: Monday to Friday, 8 AM to 8 PM, so a branch’s early morning and an operations team’s evening are both covered.

Bring one banking and lending document stream. We will show you what AI does with it.

Tell us where the paperwork piles up. The first conversation is free, and you leave it knowing whether AI is worth a pilot.
