The easement on screen while the landowner is still on the phone.

What goes wrong todayA landowner calls about a right-of-way. The easement was signed decades ago, and the only copy is a paper file nobody can find while the landowner is still on the phone.

Who handles it: Lands and right-of-way staff, Operations and engineering, Regulatory and integrity, AP clerks and buyers.

  • Lands and right-of-way

Easements, right-of-way agreements, deeds, plats and crossing permits

  • Operations

Work orders, meter orders, pole and line inspections, and as-builts

  • Regulatory and integrity

Rate case filings, commission orders, pressure test and pipe material records

  • Accounts payable

Field tickets, contractor invoices, purchase orders and utility bills for your own sites

Where Ademero fits

  • CapturePoint 6. Reads utility statements, invoices, past due notices and credit memos: account number, statement date, payment due and closing balance.
  • Content Central. Makes decades of easements searchable by tract, grantor or any word in the grant, keeps integrity records indefinitely, and routes field tickets for approval before export to Epicor, Sage X3, Sage 50, Workday or QuickBooks.

Rules this paperwork lives under

FERC records retention
18 CFR Part 125 for public utilities and Part 225 for natural gas companies set how long each kind of record is kept. Many state commissions adopt or add to them.
PHMSA pipeline safety
49 CFR Parts 192 and 195 expect pressure test and material records to be kept for the life of the pipe, and records behind maximum operating pressure to be traceable, verifiable and complete.

Colorado

Know which side of the AI law your project sits on.

Colorado passed one of the first state laws aimed at AI that shapes consequential decisions about people. Reading an invoice or filing a utility statement is not that kind of decision; scoring a loan applicant is. The assessment we write for a Colorado team says plainly which side each proposed use falls on, so your counsel can review the right things.

We describe what the software does. Whether a Denver business complies is for it and its counsel to decide.

The paperwork it creates

  • Use cases proposed for AI
  • Where each one ends: a filed document or a decision about a person
  • Your counsel’s review

What a team does about it

  1. 1List each document process you want AI to take on.
  2. 2Mark where the output goes: a folder, a system, or a decision about a person.
  3. 3Keep decisions about people with your staff and your counsel’s review.
  4. 4Start with the processes that only read and file documents.

Denver, Colorado

Energy, space and the region’s hospitals.

Colorado produces oil and natural gas, has one of the country’s largest aerospace industries centered on the Denver area, and Denver is the region’s health care center. Colorado law asks every business holding personal information for a written disposal policy, and the state passed one of the first laws on AI that shapes decisions about people.

The right revision, kept on your own network.

A customer asks for the first article inspection report on a part from a program that closed years ago. The report is found, but the drawing revision on file is not the one the part was built to.

  1. 1. Award

    Contract and flow-down clauses

Kept with the program, with access limited to the people cleared to see it.

  2. 2. Buy

    Purchase order

PO number, vendor and line items read so the order can be matched later.

  3. 3. Build

    Drawing and work instructions

Every revision kept, with the one in force clearly marked.

  4. 4. Prove

First article inspection and certificate of conformance

Filed by part number and PO, so an auditor’s pick comes up in one search.

Where Ademero fits

  • CapturePoint 6. Reads and names documents on a Windows PC inside your network. Nothing has to be sent to an outside service to be read.
  • Content Central. Runs in the cloud or on your own servers, your choice, with permissions by document type and field, Active Directory and SAML sign-in, MFA and a full audit trail.
  • Cortexa. Our private AI platform, on servers you own, for programs whose documents may not leave the building. It is the AI inside CapturePoint 6 and Paige, and it connects to Content Central so AI can work inside your document processes.

Rules

AS9100
Everything in ISO 9001, plus what aviation, space and defense customers expect: first article inspection records, configuration control and records kept as long as you and your customer require.
DFARS 252.204-7012 and CMMC
If you hold controlled unclassified information under a Defense contract, the clause calls for the NIST SP 800-171 security requirements, and CMMC requirements are being phased into new contracts. Keeping documents on your own network helps; your own controls and assessment decide compliance.
ITAR
The International Traffic in Arms Regulations (22 CFR Parts 120 to 130) control who may see defense technical data such as drawings and specifications. Permissions by document type and field keep controlled files to the people allowed to see them.

Win the appeal with the papers you already have.

A denial arrives by fax. The claim, the explanation of benefits and the referral that would win the appeal sit in three different places, and the appeal window keeps running while someone looks.

  • CapturePoint 6. Reads claims, EOBs, remittances and referrals on a Windows PC in your office, so patient information is not sent to an outside service to be read.
  • Content Central. Keeps the patient and claim record in the cloud or on your own servers, with permissions by document type and field and an audit trail of every view.

HIPAA Security Rule, in short

Asks for access controls and audit controls on electronic patient information. Content Central limits who sees each document type and logs logins, searches, views and deletes. Ademero signs Business Associate Agreements.

What an engagement produces

  1. 01

    An assessment, in writing

A map of your document streams: what arrives, from where, roughly how many, who touches each one and where its data has to land. Ranked by where AI pays off first, with the product that fits each and anything that touches Colorado rules called out.

  2. 02

    A pilot on your documents

We set CapturePoint 6 up from a folder of your own energy and utilities documents, or show Content Central with them filed the way you work. You see which fields it reads, what it sends to review and why, and where the files land.

  3. 03

    A scope and a quote

What the rollout covers, which systems we connect, how your team is trained and how support works after go-live, priced for your project.

The first conversation is free. Prices come in the quote, for your scope.

Colorado rules

What Colorado law asks of your documents.

The state rules that most often touch Denver paperwork in the industries above, in plain words. We describe what the software does; whether you comply is for you and your counsel, and laws change, so confirm the current text.

Colorado data security and disposal law

Colorado Revised Statutes, Sections 6-1-713, 6-1-713.5 and 6-1-716

Applies to
Businesses that keep paper or electronic documents with personal identifying information about Coloradans.
What it asks
A written policy for destroying those documents when no longer needed, reasonable security, and notice to affected residents within 30 days of determining a breach, plus the Attorney General when 500 or more are affected.
What the software does
Retention schedules per document type with a destruction schedule turn the written policy into something that runs on its own.

Colorado Privacy Act

Colorado Revised Statutes, Section 6-1-1301 and following

Applies to
Businesses that process personal data of 100,000 or more Colorado consumers a year, or of 25,000 or more while earning revenue or discounts from selling it. A 2024 amendment added duties for biometric data that apply regardless of size.
What it asks
People can see, correct, delete and get a copy of their data and opt out of sale, targeted advertising and some profiling. Businesses answer within 45 days.
What the software does
Full-text search finds the documents that name a person; permissions and retention schedules handle who sees them and when they go.

Colorado Artificial Intelligence Act

Senate Bill 24-205, Colorado Revised Statutes, Section 6-1-1701 and following

Applies to
Developers and deployers of high-risk AI systems that make or substantially shape consequential decisions about people, such as lending, hiring, housing, insurance and healthcare.
What it asks
Reasonable care against algorithmic discrimination, risk management and impact assessments, and notices to the people affected. Its requirements and start date have been revised since it passed, so confirm the current version with counsel.
What the software does
The document AI we deploy works on paperwork, reading it, routing it and moving its data; it does not decide who gets a loan or a job. If a project would feed such a decision, the assessment says so.

Questions

What Denver teams ask us.

Does Colorado’s AI law apply to document AI?

The law targets high-risk AI that makes or substantially shapes consequential decisions about people, such as lending, hiring or insurance. Reading and filing documents is not that. Its requirements and start date have been revised since it passed, so confirm the current version with counsel.

Colorado wants a written disposal policy. Can the software follow it?

Yes. Each document type gets its own retention period and destruction schedule, a list shows what is due for removal, and the audit trail records each removal.

How do your hours line up with Denver?
