01 · Aerospace and defense in Fort Worth

The right revision, kept on your own network.

What goes wrong todayA customer asks for the first article inspection report on a part from a program that closed years ago. The report is found, but the drawing revision on file is not the one the part was built to.

Who handles it: Quality engineers, Document controllers, Contracts administrators, IT and security leads.

  1. 1. Award

    Contract and flow-down clauses

Kept with the program, with access limited to the people cleared to see it.

  2. 2. Buy

    Purchase order

PO number, vendor and line items read so the order can be matched later.

  3. 3. Build

    Drawing and work instructions

Every revision kept, with the one in force clearly marked.

  4. 4. Prove

First article inspection and certificate of conformance

Filed by part number and PO, so an auditor’s pick comes up in one search.

Where Ademero fits

  • CapturePoint 6. Reads and names documents on a Windows PC inside your network. Nothing has to be sent to an outside service to be read.
  • Content Central. Runs in the cloud or on your own servers, your choice, with permissions by document type and field, Active Directory and SAML sign-in, MFA and a full audit trail.
  • Cortexa. Our private AI platform, on servers you own, for programs whose documents may not leave the building. It is the AI inside CapturePoint 6 and Paige, and it connects to Content Central so AI can work inside your document processes.

Rules this paperwork lives under

AS9100
Everything in ISO 9001, plus what aviation, space and defense customers expect: first article inspection records, configuration control and records kept as long as you and your customer require.
DFARS 252.204-7012 and CMMC
If you hold controlled unclassified information under a Defense contract, the clause calls for the NIST SP 800-171 security requirements, and CMMC requirements are being phased into new contracts. Keeping documents on your own network helps; your own controls and assessment decide compliance.
ITAR
The International Traffic in Arms Regulations (22 CFR Parts 120 to 130) control who may see defense technical data such as drawings and specifications. Permissions by document type and field keep controlled files to the people allowed to see them.

02 · Logistics and freight in Fort Worth

The delivery receipt in before the invoice goes out.

A load delivers on Tuesday, but the signed delivery receipt rides in a driver’s envelope until Friday. The freight invoice cannot go out until it arrives, and the customer’s payment clock has not started.

Where Ademero fits

  • CapturePoint 6. Splits a stack of trip paperwork into documents, reads the PRO and bill of lading numbers, and names each file so the delivery receipt sits next to its bill of lading.
  • Paige. When paperwork arrives from terminals and drivers everywhere, Paige reads it in the cloud and delivers the data by download, SFTP or webhook to your TMS.

Rules

FMCSA driver qualification files
Motor carriers keep each driver’s qualification file for as long as the driver is employed and three years after (49 CFR 391.51). Hours-of-service supporting documents are kept six months (49 CFR 395.8). A retention schedule per document type clears each on its own clock.
Customs records
Importers keep entry records for five years from the date of entry (19 CFR Part 163). Commercial invoices and packing lists can be filed by entry and kept for that period.

Texas rules

What Texas law asks of your documents.

The state rules that most often touch Fort Worth paperwork in the industries above, in plain words. We describe what the software does; whether you comply is for you and your counsel, and laws change, so confirm the current text.

Texas Data Privacy and Security Act

Texas Business and Commerce Code, Chapter 541 (in effect since July 1, 2024)

Applies to
Businesses that do business in Texas or serve Texans and process personal data, unless they are small businesses as the U.S. Small Business Administration defines them. There is no revenue threshold.
What it asks
People can ask to see, correct, delete or get a copy of their personal data, and you answer within 45 days. Sensitive data needs consent, and some processing needs a data protection assessment.
What the software does
Full-text search finds every document that names a person, and permissions and retention schedules control who sees it and when it is deleted.

Identity Theft Enforcement and Protection Act

Texas Business and Commerce Code, Chapter 521

Applies to
Any business that collects or keeps sensitive personal information about Texans.
What it asks
Reasonable procedures to protect sensitive personal information, destruction of customer records you will not keep, and notice to affected people after a breach, plus the Attorney General when 250 or more Texans are affected.
What the software does
Permissions by document type and field, multi-factor sign-in, an audit trail, and retention schedules with a destruction schedule.

Fort Worth, Texas

Aircraft, freight and natural gas.

Fort Worth builds military aircraft and helicopters and the parts that go into them, runs a large inland logistics hub at Alliance, and sits on the Barnett Shale natural gas field. The aerospace work is bound by contract clauses and export rules that decide where documents may go. The freight and the gas run on bills of lading, field tickets and easements.

The easement on screen while the landowner is still on the phone.

A landowner calls about a right-of-way. The easement was signed decades ago, and the only copy is a paper file nobody can find while the landowner is still on the phone.

  • CapturePoint 6. Reads utility statements, invoices, past due notices and credit memos: account number, statement date, payment due and closing balance.
  • Content Central. Makes decades of easements searchable by tract, grantor or any word in the grant, keeps integrity records indefinitely, and routes field tickets for approval before export to Epicor, Sage X3, Sage 50, Workday or QuickBooks.

FERC records retention, in short

18 CFR Part 125 for public utilities and Part 225 for natural gas companies set how long each kind of record is kept. Many state commissions adopt or add to them.

  • Lands and right-of-way

Easements, right-of-way agreements, deeds, plats and crossing permits

  • Operations

Work orders, meter orders, pole and line inspections, and as-builts

  • Regulatory and integrity

Rate case filings, commission orders, pressure test and pipe material records

  • Accounts payable

Field tickets, contractor invoices, purchase orders and utility bills for your own sites

What an engagement produces

  1. 01

    An assessment, in writing

A map of your document streams: what arrives, from where, roughly how many, who touches each one and where its data has to land. Ranked by where AI pays off first, with the product that fits each and anything that touches Texas rules called out.

  2. 02

    A pilot on your documents

We set CapturePoint 6 up from a folder of your own aerospace and defense documents, or show Content Central with them filed the way you work. You see which fields it reads, what it sends to review and why, and where the files land.

  3. 03

    A scope and a quote

What the rollout covers, which systems we connect, how your team is trained and how support works after go-live, priced for your project.

The first conversation is free. Prices come in the quote, for your scope.

We hold CUI. Does using your AI affect our CMMC assessment?

It does not have to add an outside service. CapturePoint 6 reads on a PC inside your network, Content Central can run on your own servers rather than in the cloud, and Cortexa runs AI on servers you own, so controlled documents stay within the boundary you already assess. Your controls and assessor decide compliance; we never claim it.

Can CapturePoint 6 read bills of lading from the hub?

Yes. CapturePoint 6 reads bill of lading number, carrier, PRO number, shipper, consignee and total weight, and files the delivery receipt next to its bill of lading.

Where do field tickets fit?

Field tickets are captured with the contractor invoice and purchase order, routed for approval in Content Central, then the approved data goes to your accounting system. CapturePoint 6 builds the field ticket job from a folder of your samples.

Bring one aerospace and defense document stream. We will show you what AI does with it.
