AS9100
Everything in ISO 9001, plus what aviation, space and defense customers expect: first article inspection records, configuration control and records kept as long as you and your customer require.
DFARS 252.204-7012 and CMMC
If you hold controlled unclassified information under a Defense contract, the clause calls for the NIST SP 800-171 security requirements, and CMMC requirements are being phased into new contracts. Keeping documents on your own network helps; your own controls and assessment decide compliance.
ITAR
The International Traffic in Arms Regulations (22 CFR Parts 120 to 130) control who may see defense technical data such as drawings and specifications. Permissions by document type and field keep controlled files to the people allowed to see them.

California Consumer Privacy Act, as amended by the CPRA

California Civil Code, Section 1798.100 and following

Applies to
For-profit businesses that do business in California and pass one test: annual revenue above the inflation-adjusted threshold (first set at $25 million), buying, selling or sharing personal information of 100,000 or more consumers or households, or earning half their revenue from selling or sharing it. Employee and job applicant data is covered too.
What it asks
People can ask to know, delete and correct their information, opt out of its sale or sharing, and limit use of sensitive information. Businesses answer within 45 days. Regulations adopted in 2025 add risk assessments, cybersecurity audits and rules for automated decision-making, phasing in from 2026.
What the software does
Full-text search finds every document that names a person, including HR files. Permissions, retention schedules and an audit trail control who sees it and when it goes.

California reasonable security and records disposal

California Civil Code, Sections 1798.81 and 1798.81.5

Applies to
Businesses that own, license or keep personal information about California residents.
What it asks
Reasonable security for personal information, and records with personal information destroyed when you no longer keep them, by shredding, erasing or otherwise making them unreadable.

Confidentiality of Medical Information Act

California Civil Code, Section 56 and following

Applies to
Healthcare providers, health plans, their contractors, and some businesses that keep medical information.
What it asks
Medical information is not disclosed without the patient’s authorization, except as the law allows.

Personnel files and payroll records

California Labor Code, Sections 226 and 1198.5

Applies to
California employers.
What it asks
Current and former employees can ask to inspect or copy their personnel records, and the employer complies within 30 days. Copies of itemized wage statements are kept at least three years.
What the software does

Does Part 11 mean we cannot use AI on batch records?

No. Part 11 sets rules for electronic records and signatures: secure audit trails, limited access and signatures tied to the record. Using AI to scan and file a batch record does not change that; your validation decides how the system is used.

What do California’s new automated decision-making rules mean for document AI?

California’s 2025 regulations target technology that makes significant decisions about people. Reading a certificate of analysis or filing an invoice is not that. If a project would score or rank people, the assessment flags it for your counsel before anything is built.
