Receiving and accounts payable looking at the same lot.

What goes wrong todayA supplier invoice is approved and paid while the same lot sits in quarantine waiting on a material review decision, because receiving and accounts payable never saw each other’s paperwork.

Who handles it: Document control specialists, Quality managers, Receiving inspectors, Buyers and AP clerks.

  1. 1. Order

    Purchase order

CapturePoint 6 reads PO number, vendor, order date, order total and every line item.

  2. 2. Receive

    Packing slip

Scanned at the dock with the certs that came in the box, split into separate documents.

  3. 3. Inspect

Certificate of conformance and material cert

Filed under the supplier and PO, next to the incoming inspection report.

  4. 4. Pay

    Supplier invoice

Invoice number, PO, totals and line items read, with line-item math checked and anything inconsistent sent to review.

Where Ademero fits

  • CapturePoint 6. Reads invoices, purchase orders and credit memos, including line-item tables, on a PC at receiving or in accounting.
  • Content Central. Controls SOPs, work instructions and drawings: approvals before release, check-out and check-in, every revision kept, and a workflow rule that tells AP when a lot goes on hold.

Rules this paperwork lives under

ISO 9001 document control (clause 7.5)
Documents approved before they are issued, changes and the current revision identified, obsolete documents kept from unintended use, and records protected and retained. Approval processes, version history, permissions and retention schedules support that control.

The certificate behind every batch, in one search.

An inspector asks for the certificate of analysis behind a released batch. It was emailed by the supplier, printed, initialed, and filed in a binder that left with the person who signed it.

  1. 1. Receive

    Supplier certificate of analysis

Captured from the quality mailbox or scanned, and filed by supplier, material and lot.

  2. 2. Release

    Incoming material release

Routed for approval, each approver confirming with a PIN.

  3. 3. Make

    Batch record

Kept with every revision of the SOP it was run under.

  4. 4. Investigate

    Deviation and CAPA

Linked to the batch, so the whole story comes up in one search.

Where Ademero fits

  • CapturePoint 6. Scans and splits paper batch records and supplier documents on a PC in the lab or warehouse, with searchable PDF and optional PDF/A output.
  • Content Central. Keeps controlled documents and the audit trail your validation team will examine: who viewed, changed and approved what, approvals confirmed with a PIN, and the approver’s signature stamped on the page.

Rules

FDA 21 CFR Part 11
Sets rules for electronic records and signatures: secure audit trails, limited access and signatures tied to the record. Your validation decides how a system is used under Part 11.
FDA 21 CFR Part 211 and Part 820
Drug makers keep batch production records at least one year after the batch’s expiration date; device makers keep controlled documents and quality records. Retention schedules per document type keep each record for its period.

San Jose, California

Silicon Valley still builds hardware.

Around San Jose, semiconductor and equipment makers and their suppliers trade purchase orders, packing slips and certificates of conformance every day. Medical device companies keep the controlled documents and quality records the FDA asks for. Software companies run on contracts and onboarding packets. California’s CCPA covers employee data as well as customers, which matters in a region with this many employees per document.

California rules

What California law asks of your documents.

The state rules that most often touch San Jose paperwork in the industries above, in plain words. We describe what the software does; whether you comply is for you and your counsel, and laws change, so confirm the current text.

California Consumer Privacy Act, as amended by the CPRA

California Civil Code, Section 1798.100 and following

Applies to
For-profit businesses that do business in California and pass one test: annual revenue above the inflation-adjusted threshold (first set at $25 million), buying, selling or sharing personal information of 100,000 or more consumers or households, or earning half their revenue from selling or sharing it. Employee and job applicant data is covered too.
What it asks
People can ask to know, delete and correct their information, opt out of its sale or sharing, and limit use of sensitive information. Businesses answer within 45 days. Regulations adopted in 2025 add risk assessments, cybersecurity audits and rules for automated decision-making, phasing in from 2026.
What the software does
Full-text search finds every document that names a person, including HR files. Permissions, retention schedules and an audit trail control who sees it and when it goes.

California reasonable security and records disposal

California Civil Code, Sections 1798.81 and 1798.81.5

Applies to
Businesses that own, license or keep personal information about California residents.
What it asks
Reasonable security for personal information, and records with personal information destroyed when you no longer keep them, by shredding, erasing or otherwise making them unreadable.
What the software does
Retention schedules with a destruction schedule, and a list of documents due for removal before they go.

Confidentiality of Medical Information Act

California Civil Code, Section 56 and following

Applies to
Healthcare providers, health plans, their contractors, and some businesses that keep medical information.
What it asks
Medical information is not disclosed without the patient’s authorization, except as the law allows.
What the software does
Permissions by document type and field keep medical documents to the people who need them, and the audit trail shows every view.

Personnel files and payroll records

California Labor Code, Sections 226 and 1198.5

Applies to
California employers.
What it asks
Current and former employees can ask to inspect or copy their personnel records, and the employer complies within 30 days. Copies of itemized wage statements are kept at least three years.
What the software does
HR documents filed by employee come up in one search, so a request is answered from one place, and timesheets and wage records keep their own retention period.

Contracts and onboarding forms your systems can read.

A vendor contract renews on its own because the notice date lived only in a signed PDF in someone’s inbox. Nobody had read the term clause since the day it was signed.

  • CapturePoint 6. Reads agreements, offers and onboarding forms, and exports each PDF with its values to SharePoint, OneDrive, Google Drive, Dropbox, Nucleus One or folders.
  • Paige. For engineers: send documents in, get structured data back by webhook or SFTP, after Paige learns your documents from a few samples.
  • Cortexa. Our private AI platform, on servers you own: a private AI chat for your team, an AI API for your engineers, and custom AI tools our team builds around how you work.

Form I-9 retention, in short

Employers keep each Form I-9 for three years after the date of hire or one year after employment ends, whichever is later, and produce it for inspection on request. Filed with the hire date, each form can be kept for exactly its period.

What an engagement produces

  1. 01

    An assessment, in writing

A map of your document streams: what arrives, from where, roughly how many, who touches each one and where its data has to land. Ranked by where AI pays off first, with the product that fits each and anything that touches California rules called out.

  2. 02

    A pilot on your documents

We set CapturePoint 6 up from a folder of your own manufacturing documents, or show Content Central with them filed the way you work. You see which fields it reads, what it sends to review and why, and where the files land.

  3. 03

    A scope and a quote

What the rollout covers, which systems we connect, how your team is trained and how support works after go-live, priced for your project.

The first conversation is free. Prices come in the quote, for your scope.

Can CapturePoint 6 read the line items on supplier invoices?

Yes. CapturePoint 6 reads invoice number, vendor, PO, totals and the line-item table, checks the line-item math and sends anything inconsistent to review with the reason shown.

We are a device company under FDA rules. Where does the AI stop?

The AI reads, splits and files documents, and inside Content Central it can help route work and fill in data. Control of those documents, approvals, versions and the audit trail live in Content Central, and your validation decides how the AI is used under Part 11 and Part 820.

Do we need a data center for the AI?

No. CapturePoint 6 runs its AI on a Windows 10 or 11 PC; a graphics card is optional. Cortexa is for teams that want private AI on their own servers, and Paige runs in the cloud.

Bring one manufacturing document stream. We will show you what AI does with it.

Tell us where the paperwork piles up. The first conversation is free, and you leave it knowing whether AI is worth a pilot.
