Form I-9 retention
Employers keep each Form I-9 for three years after the date of hire or one year after employment ends, whichever is later, and produce it for inspection on request. Filed with the hire date, each form can be kept for exactly its period.

GLBA Safeguards Rule
Non-bank lenders and brokers follow the FTC version (16 CFR Part 314): a written information security program, multi-factor sign-in, and disposal of customer information no later than two years after it was last used unless you have a reason to keep it. Banks follow the interagency guidelines. Content Central supports MFA, permissions and retention schedules that clear documents on time.
Regulation Z (TRID) record keeping
Lenders keep evidence of compliance for the Loan Estimate for three years after closing and the Closing Disclosure for five. Each can be its own document type with its own retention period.

Applies to
For-profit businesses that do business in California and pass one test: annual revenue above the inflation-adjusted threshold (first set at $25 million), buying, selling or sharing personal information of 100,000 or more consumers or households, or earning half their revenue from selling or sharing it. Employee and job applicant data is covered too.
What it asks
People can ask to know, delete and correct their information, opt out of its sale or sharing, and limit use of sensitive information. Businesses answer within 45 days. Regulations adopted in 2025 add risk assessments, cybersecurity audits and rules for automated decision-making, phasing in from 2026.
What the software does
Full-text search finds every document that names a person, including HR files. Permissions, retention schedules and an audit trail control who sees it and when it goes.

California reasonable security and records disposal

California Civil Code, Sections 1798.81 and 1798.81.5

Applies to
Businesses that own, license or keep personal information about California residents.
What it asks
Reasonable security for personal information, and records with personal information destroyed when you no longer keep them, by shredding, erasing or otherwise making them unreadable.
What the software does
Retention schedules with a destruction schedule, and a list of documents due for removal before they go.

Personnel files and payroll records

California Labor Code, Sections 226 and 1198.5

California employers.
What it asks
Current and former employees can ask to inspect or copy their personnel records, and the employer complies within 30 days. Copies of itemized wage statements are kept at least three years.
What the software does
HR documents filed by employee come up in one search, so a request is answered from one place, and timesheets and wage records keep their own retention period.

Do California’s automated decision-making rules apply to reading contracts?

Those 2025 regulations target technology that makes significant decisions about people, such as hiring or lending. Reading a contract or an invoice is not that. If a project would feed a decision about a person, the assessment flags it for your counsel.
